The Hopton 10k is organised by a volunteer committee in Hopton, Mirfield, West Yorkshire. We are committed to protecting the privacy of everyone who enters the race, visits our website, or contacts us. This policy explains what information we collect, how we use it, and your rights.

What Information We Collect

Race entries (via RaceBest)

When you enter the race through RaceBest, they collect personal information on our behalf, which may include:

  • Name
  • Email address
  • Date of birth
  • Gender
  • Postal address
  • Running club affiliation
  • Emergency contact details

RaceBest is a separate data controller and processes your payment details directly. We do not have access to your payment card information. Please refer to RaceBest’s own legal policies for details of how they handle your data.

Contact form and email

If you contact us via the website contact form (powered by Formspree) or by email, we receive your name, email address, and the content of your message.

Website analytics

We use Google Analytics to understand how visitors use our website. This collects anonymised data such as pages visited, time on site, and general geographic location. No personally identifiable information is collected by Google Analytics. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.


How We Use Your Information

We use the information collected for the following purposes:

  • Race administration – processing your entry, allocating race numbers, timing, and communicating essential race-day information.
  • Results publication – your name, finish time, position, and running club are published on the Hopton 10k website and via RaceBest after the race.
  • Safety – emergency contact details are held on race day in case of a medical incident.
  • Communication – responding to your enquiries via email or the contact form.
  • Website improvement – using anonymised analytics to understand how our site is used.

We will never sell or share your personal data with third parties for marketing purposes.


Photography & Video

By participating in the Hopton 10k, you consent to being photographed and filmed during the event. These images and videos may be used on:

  • The Hopton 10k website
  • Our social media channels (Facebook, Twitter)
  • Printed promotional materials

If you would like a specific photograph or video of you to be removed, please contact us at [email protected] and we will action your request as soon as reasonably possible.


How Long We Keep Your Data

  • Race entry data is retained for up to 12 months after the event for administration and results queries, after which it is deleted.
  • Race results (name, time, position, club) are retained indefinitely as part of the public race record.
  • Contact form messages are retained only as long as needed to resolve your enquiry.
  • Google Analytics data is retained for 26 months in accordance with Google’s default settings.

Who Has Access to Your Data

Your personal data is only accessed by:

  • Members of the Hopton 10k organising committee, for race administration purposes
  • RaceBest – as the entry platform and data processor
  • Formspree – as the contact form processor
  • Google Analytics – anonymised website usage data only

We do not transfer your data outside the UK/EEA except where third-party services (Google Analytics, Formspree) may process data internationally under their own privacy policies and appropriate safeguards.


Your Rights

Under UK data protection law (UK GDPR), you have the right to:

  • Access the personal data we hold about you
  • Correct any inaccurate information
  • Delete your personal data (subject to any legal obligations we may have)
  • Object to processing of your data
  • Withdraw consent for photography (see above)

Entrants must be 15 or older. We do not knowingly collect personal data from children under 15. Entry data for participants aged 15–17 is processed on the same basis as adult entries.
